We are currently seeking a Contracts Administrator for a full-time position, to join our growing team. This is a key role in supporting project efficiency, cost control, and contractual compliance, ensuring seamless project execution across our portfolio.

Position Overview

The Contracts Administrator is responsible for the management of contracts, procurement, and project financials, ensuring accuracy, compliance, and seamless coordination between internal teams and external stakeholders. This role requires meticulous attention to detail, strong communication, and proactive problem-solving skills.

You will be working closely with Project Managers, Estimators, Site Supervisors, and suppliers to ensure all contractual and procurement requirements are effectively managed.

Key Responsibilities

Contract Administration & Compliance

• Prepare, review, and manage construction contracts, subcontracts, and purchase orders.
• Ensure contract compliance with legal, regulatory, and company requirements.
• Monitor, track, and manage contract variations, extensions, and amendments.
• Coordinate and track project progress claims, contract negotiations, and documentation.
• Ensure timely execution of contracts to avoid project delays.
• Liaise with clients, subcontractors, suppliers, and consultants regarding contract terms and obligations.

Procurement & Purchase Orders (POs)

• Issue, track, and manage purchase orders through Buildertrend and internal systems.
• Ensure supplier and subcontractor agreements align with scope, pricing, and compliance standards.
• Monitor and control project costs to stay within budget allocations.
• Work closely with finance teams to ensure timely processing of invoices and payments.

Project Coordination & Support

• Maintain accurate and up-to-date project documentation.
• Assist in budget forecasting, financial reporting, and project cost tracking.
• Ensure all subcontractor documentation, including insurance, SWMS, and compliance certificates, is current.
• Proactively identify and resolve issues related to contracts and procurement.
• Attend project meetings and provide insights on contract obligations and outstanding matters.

Risk & Dispute Management

• Identify and escalate contractual risks, disputes, and claims as needed.
• Assist in dispute resolution processes, ensuring compliance with agreed terms.
• Work closely with legal and project teams to mitigate potential contract risks.

Skills & Experience Required

✅ 2+ years of experience in contract administration within residential or commercial construction.
✅ Strong understanding of construction contracts, procurement processes, and cost control.
✅ Experience with Buildertrend, Procore, or similar project management software (preferred).
✅ High-level attention to detail, organizational skills, and ability to manage multiple projects.
✅ Excellent negotiation and problem-solving skills with the ability to handle contract variations.
✅ Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
✅ Strong communication and interpersonal skills, able to liaise effectively with clients, suppliers, and internal teams.

Business Development Manager

We are currently hiring for a Business Development Manager to manage multiple groups and generate sales. This is an opportunity to join a growing home builder and work alongside an experienced A team. Your role will involve creating and managing relationships with sales agents, property investment groups to generate sales.

Our office is in Wheelers Hill and we build all over Melbourne and some regional areas.

Our company has large long-term plans, and our CEO has previously overseen the construction of thousands of homes, managed large teams and won multiple awards. You will be reporting directly to the CEO and your role will be critical in driving our sales targets.

We are looking for someone that is passionate about the building industry and wants to work for a home builder aiming to be the industry leader.

The role:

· Contacting and managing relationships with sales agents and property investment groups to generate sales.

· Driving sales and hitting targets & KPI’s.

· Ensure that requests are responded to in a timely manner.

· Ensuring that we have relevant stock available to the groups.

· Providing a high level of service.

· Other ad hoc tasks.

· Relevant experience is a bonus; however, we are looking for someone with the right attitude and work ethic.
